How To Assign a Shift Schedule to a User/Employee


Step 1: Log In to Your Account

Enter your username and password on the login screen, then click the login button. This will take you to your home page.


Step 2: Navigate to the HR Tab

From the home page, click the HR tab on the left sidebar. Use the dropdown arrow to expand options under HR, then select Shift and Attendance. Locate and click on the Shift Type shortcut.


Step 3: Create a Shift Type

The prerequisite for assigning a shift schedule is to create a shift type. Navigate to the “Shift Type” shortcut under the Shifts label.


Step 4: Add a New Shift Type

After clicking the “Shift Type” shortcut, you will be directed to the list of all the shift types that already exist and have been created. Click the “Add Shift Type” button in the upper right corner of the page.


Step 5: Create the New Shift Type

Once you click the “Add Shift Type” button, a floating form will appear. Click the edit full form. Fill out the form to create a new shift type, then select a holiday list for that new shift. Save.


Step 6: Navigate to the Shift Schedule

After creating the New Shift Type, return to the HR tab and the Shift & Attendance section. The next step is to select the “Shift Schedule” shortcut.


Step 7: Add a New Shift Schedule

After clicking the “Shift Schedule” shortcut, you will be directed to the list of all the shift schedules that already exist and have been created. Click the “Add Shift Schedule” button in the upper right corner of the page.


Step 8: Selecting the Shift Type for the Shift Schedule

The creation of a shift schedule is dependent on the shift type you have created earlier. After naming the shift schedule, you can select which shift type would be used for the shift schedule you want to create. The shift schedule will then follow the time that you have set from the shift type you’ve selected.


Step 9: Setting the Frequency of the Shift Schedule

After selecting the shift type, you can select the frequency at which the shift schedule will run and create a schedule for the particular shift type.


Step 10: Setting the Days of the Week to be Assigned for the Shift Schedule

Once the frequency is set, you can select which days of the week you want the shift schedule to create a schedule for the user. You can do this by clicking the “Add Row” button at the bottom of the “Repeat On Days” label. After adding the row, you can select which days of the week you want to add by clicking on the row, in which a drop-down will appear.


Step 11: Navigate to the  Shift Schedule Assignment

After creating the new Shift Schedule, return to the HR tab and the Shift & Attendance section. The next step is to select the “Shift Schedule Assignment” shortcut.


Step 12: Add a New Shift Schedule Assignment

After clicking the “Shift Schedule Assignment” shortcut, you will be directed to the list of all the shift schedule assignments that already exist and have been created. From the list, you will see all the users who are using the shift schedule that you have created. Click the “Add Shift Schedule” button in the upper right corner of the page.


Step 13: Fill Out the New Shift Schedule Assignment

Fill out the New Shift Assignment by selecting or searching the Employee you want to set a Shift Schedule Assignment for. After selecting the Employee, select the shift schedule you want to assign to that user. Save the new shift schedule assignment, then after saving, submit it. This will assign the shift schedule you created to that user.


Step 14: Verifying if the Shift Schedule Assignment is Successful

To verify if the shift schedule assignment is successful, return to the HR tab and the Shift & Attendance section. From there, click the “Shift Assignment” shortcut. If you see a list of shift assignments, verify their date and end date by clicking on the schedule. If the date and end date are correct, the shift schedule assignment is successful.

*NOTE: The reflecting of the Shift Schedule Assignment to the Shift Assignment usually takes 1-2 hours due to the scheduler refresh time.


Step 14.2: Verifying if the Shift Schedule Assignment is Successful via Roster

Another way of verifying if the Shift Schedule Assignment is successful is by checking the Roster page. The Roster page can be located at the HR tab and the Shift & Attendance section.


From the roster page, you can search for the user you’ve assigned a shift schedule to. You can verify if it is successful by looking at the table that contains the date as well as the days of the week. If the time, date, and frequency of the shift assignment are correct, then the shift schedule assignment is successful.
